Read the scope, not only the total
A useful quotation identifies labour, service charges, parts or materials, quantity, unit price, discount, tax where applicable and the total. Notes should explain exclusions, validity and whether an additional fault could change the scope.
The customer portal lets you approve or decline the current quotation. A changed scope should be recorded as an updated quote instead of being hidden in a message thread.
Payment plans and verification
Some repairs require a deposit before a part is ordered and a balance after testing. The payment plan should state the amount or percentage due at each stage.
Cash can be recorded by the administrator. QR or bank transfers can include a transaction reference and proof for verification. Card payment should use a hosted payment page from an approved payment provider; card numbers should never be entered into the repair website.
Invoices and history
A payment marked pending is not the same as a verified payment. The dashboard should show the quoted total, approved payments and remaining balance separately.
When the job is completed, the invoice and service timeline provide a clear record of the work, payment and stated warranty period.
